A electronic signature of a contract, in many cases, becomes a reason for celebration in companies. After all, it can mean meeting an important goal, hiring a very popular professional, closing a successful negotiation. HubSpot's integration with ZapSign came to facilitate the realization of these types of actions and much more!
Well, if you already use HubSpot as a CRM and ZapSign as a subscription platform, you might be thinking: what's the point of bringing the two together?
What if you don't know what we're talking about and you're wondering “What is HubSpot? What is CRM? What is ZapSign? What is an electronic signature?”, don't go away! This article is also for you.
So, read on to find out how the combination of these two tools will benefit your company's management, making internal processes more agile, efficient and, consequently, more capable of generating satisfactory results.
Why is it important to have an electronic signature platform when closing contracts?
All companies need contract templates to close different types of agreements, such as: hiring new employees, partnering with suppliers, selling products or services to customers, among others.
However, imagine how much work a person has to sign (or collect signatures from) these contracts once they are signed manually. It's no wonder that some companies have closets, rooms and even sheds to store so many documents.
This is bad because, over time, these papers can deteriorate and, if their places do not have adequate ventilation, it ends up generating the emergence of mold, compromising the health of the people who pass through them.
For this reason, several businesses have adopted the electronic signature, because in addition to saving physical space (and the environment), it also allows you to store a large amount of documents in the cloud.
In addition, unlike the manual signature process (which, in some cases, even requires going to the registry office), electronics makes everything faster: in one click, the contract is already signed. This is a great advantage these days when we all want agile solutions that meet our mobility.
we, from ZapSign, we know this very well, so much so that we prioritized such facilities when developing our electronic signature platform that allows you to sign documents in a simple way wherever you are, as long as you have a computer or phone connected to the internet and, in two clicks, your subscription is done.
How can an electronic signature platform and a CRM work together?
With the electronic signature platform you can manage all documents signed by the company's employees, partners and customers. But when it comes to customer relationships, there are more points involved, for example:
- personal data (name, email, telephone, and the like);
- purchase history;
- service tickets;
- which company members you have already been in contact with;
- registration of e-mail messages, chat and service channels.
One of the electronic signature platform does not have these features, as they do not belong to your proposal. You will have access to them when you hire a CRM.
Also known as Customer Relationship Management (or “Customer Relationship Management”), the CRM it is aimed precisely at the general administration of the customers of a business.
You know that Excel spreadsheet with the names of all the customers? The history of customer service by the WhatsApp that disappears when the app doesn't back up? The little notebook in which all sales are written down? The old paper agenda to schedule meetings? CRM does it all for you more securely, efficiently and quickly.

Which CRM is the most recommended?
There are several CRMs offered by Brazilian and international companies. To meet operational, analytical, collaborative and strategic needs, it is recommended to choose a tool that is market leader, just like the HubSpot.
After all, it was named the biggest in the B2B marketing automation market (one of the main features of a CRM) in a survey by Gartner, one of the most renowned global organizations in the technology field.
In addition to being easy to use, one of the biggest assets of its favoritism is the fact that HubSpot brings several solutions in one place, especially through the integrations it has with other tools that are equally essential for the managing a business.
As you can see throughout this article, the e-signature platform is one of them and that leads us to the question: does HubSpot have this functionality? Well, now it has!
ZapSign and HubSpot Integration: Marketing, Sales, and Subscriptions in One Place
This year we made the integration with HubSpot so that all its users are contemplated with the electronic signature service that we offer here at ZapSign.
As we said above, there are several CRMs on the market, but we try to join forces with the company that maintains its leadership in more than 113 thousand companies worldwide.
If you still don't use HubSpot to manage your customers, just like ZapSign, it has a free plan, ideal for those who have a small business or simply want to try the tool before purchasing a premium plan.
So, even if you have an individual micro-enterprise that is starting to earn money, this is not an impediment to having these two solutions in your management.
Step by step to sign a document on ZapSign with HubSpot integration
Here's a list of all the steps you should take to integrate ZapSign with your HubSpot account once you're a customer of both.
These are very simple steps, but we bring them here in detail so that no doubt remains in the air during their execution.
1. Log in to HubSpot
Once you have an account created with HubSpot, the first step is to log in to the platform when accessing this link to enter your data or use your registered Google account to enter the platform.

If you enabled two-factor authentication when you created your HubSpot record, you may need it to proceed.
Most users use email or phone to do this authentication. If this is your case, just follow the procedure and enter the code that is sent to one of them to complete the login on the platform.

2. Access ZapSign via the HubSpot Marketplace
As a platform that has many others (each offering it different functions), HubSpot has an app marketplace. That is, a page where you can find all the tools that connect with HubSpot, which includes ZapSign.
But to find us there, you must first enter the official HubSpot App Marketplace website and search for ZapSign, as shown in the screenshot below.

If you want more objectivity at this stage, just click on this link that we prepared with the search for ZapSign previously made on the Marketplace.
3. Install ZapSign within HubSpot
When you find ZapSign, the next step is to install it within the CRM. At the top right of the screen you will see an orange button that says “Request to install”. Click on it.

In time: for some users, HubSpot appears in English, while for others in Portuguese or another corresponding language. In this tutorial we followed the English version, but if you don't master the language, don't worry. The instructions that appear on the screen are the same as those presented here, both in the explanation and in the screenshots.
4. Allow integration with ZapSign
Because it is a CRM that serves the most varied departments of companies, it has administrator functions that are passed on to the founders, managers and leaders of these sectors.
So, if you don't have permission to run this installation because you don't have administrative powers in HubSpot, you'll see the screen below.

In this case, you will be asked to send a request for permission to the person managing the accounts to release the installation. We always suggest making a prior communication with the account manager so that the approval is made as soon as possible.
5. Select the account to be connected
Once the installation permissions have been passed successfully, the next screen will present the accounts present in HubSpot that must be connected with ZapSign as seen in the screen below. Select the correct one.

Then make sure you have the necessary permissions and click on the button that says “Connect app” (ie “Connect app”).

When everything goes well, a message will appear that says “linked successfully” and the installation is complete.
6. Create your first ZapSign document via HubSpot
With the integration, signing contracts electronically using ZapSign just got even easier! In the Deals / Deals section of a specific contact, click on “Create documents via upload” (or “Create document via upload”) as shown below.

Next, a screen identical to the one on the ZapSign platform will appear, where you need to upload the document, enter the signers and send it to the signature.

Finally, the progress of signing documents can also be viewed by HubSpot. Therefore, those who operate the CRM every day and need to check if the customer, supplier, employee or anyone they are in contact with has already signed the contract, there is no longer a need to do it externally, but through HubSpot itself.

Examples of ZapSign's E-Signature Using HubSpot Integration
So that you can see the breadth of benefits that the integration between ZapSign and HubSpot can bring, in the final step of this article, we have separated three examples that we observe repeatedly in various types of organizations.
More agility in sales
Companies that offer products or services to their customers work with goals. To achieve them, it is necessary that the commercial discourse is well constructed and the marketing do a good job to generate more and more opportunities. Yes, it's a lot of work, so the frustration is very high when the chance of a sale goes away.
These days, this is more common than you might think. After all, in digital media, the distance between a company and its competitor is not more than a block, but a click away.
For this reason, the processes must be light so as not to miss the right time for the sale. When a customer says “yes”, their expectation is to go through the bureaucratic part as soon as possible and receive the product or service.
The integration between ZapSign and HubSpot helps you save the time needed to register a customer on two different platforms. So if you already have their data on HubSpot and you just heard the “yes” during a video call or online service, the contract can be sent to him at the same time for signature.
This guarantees the client's immediate entry into the base and the company's seriousness, which already has the right tools and agility. This makes the customer think, “If their service is that efficient, their product/service must be just as good! Now I'm going to buy it!”
Better efficiency in hiring
With the market changes caused by economic, technological factors and also because of the pandemic, new needs emerged, which caused organizations to create new job positions. To give you an idea, only in the area of technology and information more than 123 thousand new types of work were registered.
This makes HR professionals need to put a lot more effort into finding new talent that matches this demand. Therefore, the prospection of candidates gets bigger, and it becomes essential to have them registered in a management tool like a CRM.
Among so many curriculum analyzes and interviews, it is normal for Human Resources analysts and managers not to remember everyone, but having your contact history stored in the CRM is essential for the offer of current or future vacancies.
And when the time comes to offer the position to the most appropriate person, it is necessary to act quickly so as not to lose it to a competing company. Thus, by sending the employment contract immediately via integration with ZapSign, the signature and commitment of the new employee are guaranteed.
More organization in partner management
Depending on the model a company follows, it will need partners who can execute it. Those who manufacture physical products, for example, must have a carrier as a partner that takes them safely and quickly to customers. The same goes for resellers, distributors, and other outsourced professionals who are necessary for the business to function.
It is not recommended, however, to close verbal agreements when making such partnerships, even though this type of contracting has legal validity. Therefore, opt for digital documents with an electronic signature that show the mutual agreement of all the points set out in the contract.
ZapSign takes care of this part and the advantage of having it integrated with HubSpot is that the CRM records all interactions between the company and the partners. So, if one of them sends an email complaining about a point that is or is not in the partnership agreement, it is no longer necessary to look for the message in your Gmail and the agreement in the dusty drawer. Everything can be done in one channel.
Now that we've reached the end of this article, it's clear how the HubSpot integration with ZapSign can be beneficial for many companies and their management, right?
