What is electronic signature?

The electronic signature has the function of capturing the consent or approval of someone from electronic means.. Therefore, it can be used as a replacement for the handwritten signature.

Furthermore, the electronic signature is not only applied to documents and contracts, but also to other electronic means such as token, biometrics or facial recognition so that the person's identity is proven.

What are the types of electronic signatures?

Basically, according to law number 14.063 of the Brazilian legislation, there are three types of electronic signature: simple, advanced and qualified.

Simple electronic signature allows the person signing the document to be identified from data associated with him in electronic format.

The advanced electronic signature uses digital certificates or other resources to prove the authorship and integrity of the signatory.

Finally, the qualified electronic signature uses the digital certificate issued by the ICP-Brazil which is the main Brazilian public key infrastructure system.

How to make an electronic signature by cell phone: step by step

Now that you know what an electronic signature is, as well as the importance and convenience of doing it from your cell phone, we are going to show you how you can upload and sign a document via ZapSign in a quick and simple way.

Step 1: Register on the platform

First, register on the platform to be able to make the electronic signature. It has two plans aimed at companies, they are:

• professional plan: allows signing up to 20 documents per month and inclusion of up to 6 users with a price starting from R$ 29 per month;
• full plan: aimed at companies with a greater flow of documents, as it includes unlimited subscriptions and up to 11 users from R$ 65 per month.

However, if you're still not sure which plan is best or want to try out the tool before purchasing, there's also the essential plan with which you can send up to 5 documents per month for free. 

Let's use this free plan as the basis for this tutorial. When accessing the ZapSign homepage on your mobile, tap on “Try Free”.

The next screen is the registration screen. Enter your email and also provide a password of at least 6 characters that will be used for your login when registration is complete. Then tap on “Create Account”.

Ready! In just two steps, your ZapSign registration is complete!

Step 2: Upload the document to the platform

The accepted file type for signature is PDF, so you must have the document in this format. If it is on Google Drive, just go to “File / Download / PDF Document”. If it is a .doc file, there are applications like this who can perform the conversion for you.

Then, as the print above says, click on + to upload the document to be signed on the platform. By doing so, you will be presented with the following screen.

By tapping on “Select Document”, you will be taken to choose the PDF file you have on your phone. 

Step 3: Determine the signatories

When the file upload is complete, you should point out what the names of the signers are.

There is an option for “Advanced Authentication” aimed at entering more data from the people who sign, such as: email, phone number, function, selfie and photo of some identification document. To continue, tap “Continue”.

Next, you can position in which part of the document the signature should be made. In physical contracts, it is common for the signature field to be located at the end and it is inserted in a line present above the signatory's name. As many people are still used to this format, we adapted it to ZapSign to better identify the traditional audience.

If you don't see this function as necessary, just tap on “Continue without positioning”. But, if you have done the placement, tap on “Save and continue”.

Step 4: Send the subscription link

On the next screen, you will be asked to collect signatures. There are three ways to do this.

The first way is to copy the document link by touching the blue icon to send it through any message channel.

By the way, if you're talking to signatories over WhatsApp, there is an icon for you to send the document directly from the application. This is the second shipping method.

To activate the third way, you can tap on the button that says “I want ZapSign to send signature links to signers” which will bring up the following screen.

It is possible to put the email and a personalized message if you want. Finally, tap on “Submit and Finish”.

What are the steps the signer takes to sign?

After you send the document, the person signing it, by tapping the link, will see the document and the signature button.

After ringing, the person will be invited to enter their full name, email and contact phone number. After entering, you should tap on “Continue”.

The next screen features a very interesting feature from ZapSign: the person can sign the document with their finger, just like signing physical files with a pen. It doesn't matter if it doesn't match the identity document. Then just tap on “Finish”. 

Ready! After following these steps, the electronic signature is successfully completed. The screen below is displayed and a confirmation email is also sent by the platform to both parties.
