As the digital revolution becomes more and more present in the business world, the implementation of certain technological resources becomes as elementary as any other traditional practice. An example is the ITI signer.

Within that context, the digital signature stands out especially, since it is an important technological tool that guarantees that anyone can sign a certain document in a virtual environment – and with the same legal validity as a document with a physical signature.

Essential for any and all companies, regardless of size or field of activity, this resource has been adopted more and more to enter into agreements, contracts and transactions of the most varied types.

That said, it is worth mentioning that the facilities provided by the implementation of the digital signature are becoming more and more evident, thanks to tools such as the ITI Signer.

To let you know more about it, we at ZapSign have produced this complete guide on the subject.

A ZapSign is an electronic and digital signature platform that allows you to collect signatures in a simple way via desktop or cell phone, so you can save time and money, in addition to maintaining the legal validity of your documents.

That's why we took the time to write this post and we invite you to read it until the end. Shall we go ahead?

After all, what is the ITI signer?

The ITI Subscriber is an online tool made available by the ITI (National Institute of Information Technology), a federal autarchy linked to the Civil House of the Presidency of the Republic, whose main objective is to maintain the Brazilian Public Key Infrastructure (ICP-Brasil), being the first authority in the certification chain.

This important technological device has the purpose of making it possible for anyone, including public and private organizations, to insert their advanced level electronic signature into various documents, without the need for a digital certificate – to do so, the user just needs to have a silver or gold level gov.br account.

Precisely because it does not require a digital certificate, the ITI Signer offers the advantage of allowing signatures to be made for free. However, to be accepted by the platform, the files must meet two requirements: be up to 100 MB in size and be saved in one of the following formats: DOC, DOCX, ODT or PDF.

However, despite its obvious advantage, it should be noted that the ITI Signer cannot be used to sign documents whose legislation requires a signature with a Digital Certificate issued within the scope of the ICP-Brazil.

Step by step, how to use the ITI signer

Now that you understand what the ITI signer is all about, you must be anxious to know how to use it correctly, right?

Know that the process of using this tool to create your free electronic signature is very simple and does not keep any mystery, taking about, at most, five minutes to be completely carried out.

As mentioned above, you must first have a silver or gold level gov.br account. You must also have the Gov.BR application installed on your cell phone (available for Android and iOS, and which can be easily downloaded from the app stores of the respective systems).

The Go.BR app is especially important, as if your account is a bronze level, it will be needed in order to convert it to a silver or gold level account.

To do this, you must access the app, click on the “Increase Account Level” option and check the requirements for carrying out this procedure.

From now on, we advance that the simplest way to obtain a silver level account, for example, is by logging in to gov.br in an accredited bank - such as, for example, Banco do Brasil, Caixa Econômica Federal, Santander, and several others.

If you want to upgrade your account just to use the ITI Subscriber, this is the fastest and most practical alternative.

Well then. Once all these requirements have been met, just follow the step-by-step instructions that we will explain later on and the digital signature process by the ITI Signer will be hassle-free:

  1. Login to the website

The first step to unequivocally carry out the subscription procedure through the platform is to access the ITI Subscriber website and login with your gov.br account, inserting your CPF and password. If you don't remember your password, just click on the option “I forgot my password” to recover it.

Once logged in, click on the “Choose file” option and select the document file you want to sign. Remembering that the ITI Subscriber only accepts files of up to 100 MB and that are in DOC, DOCX, ODT or PDF formats.

If the document is saved in another format, there are countless programs and websites that convert it to PDF.

  1. signature placement

In this step, you can click anywhere in the document to bring up the signature field.

Next, use the mouse cursor to drag the signature field freely and then position it in the space you prefer – always being careful not to overlap this field with any important information, as these must always remain clearly visible and legible.

Right after positioning the signature field in the region of the document of your choice, click on the “Digitally sign” option.

You will then be able to view your code. If, perhaps, you do not have the app installed, the system can also send you the code via SMS.

And what are the steps to perform ITI signer validation?

There are several ways to make a digital signature, even free of charge through Word. But the platforms dedicated to this type of firm have ways to validate them and this is very important.

Firstly because of security, as online documents involve data regarding your company, employees, employees and customers. Therefore, your subscriptions must be done in a secure environment.

Another point to be considered is the integrity of the signatories. After all, most of the time, subscribers are not present in the same physical environment. Therefore, there is a need for your identity to be validated and complete.

Finally, the verification of digital signatures complies with the rules established by ICP-Brasil, guaranteeing its validity.

The ICP-Brasil Digital Signature Standard Compliance Checker is a tool made available by ITI since 2014, whose purpose is to carry out the validation of digital signatures. This validation process follows a series of strict criteria, such as:

  • comparison of cryptographic keys;
  • confirmation of signature validity;
  • checking verification codes;
  • time stamp.

Through this tool, a user can confirm whether a digitally signed file is in full compliance with ICP-Brasil standards. This process can be easily accomplished in 3 simple steps.

  1. Checker page access

Access Compliance Checker website and click on “Select signature”.

  1. compliance check

Select the digitally signed file you wish to submit for verification and click on “verify compliance”.

  1. Verification result

The result will be displayed, informing in detail if the file complies with all the legal criteria established by the MP 2.200-2/2001.

And since we are talking about electronic documentation, we would like to highlight the importance of adopting a good digital signature solution for your company.

After all, it is not by chance that, in the corporate scenario, a consensus has been created that the practice of digital signature is no longer an innovation, but a basic need to optimize an organization's processes.
